What are the emails options in settings?

    Spotter does some automated email sending in specific situations, and those settings can be checked here .



The options in the e-mail settings menu, by default, are not checked when an account is created , being necessary to activate the options within the system if you want to receive the notifications and information described below.

In this menu we have the following options:


Send email to lead before meeting : this option allows you to define how long before the scheduled time for the meeting takes place , the lead will receive a reminder email:

In the image below, an example of what this email looks like for the lead (it was configured to send 1 minute before the meeting):


If you don't want to send this email to the lead, leave the time as 0 (zero), that way no meeting reminder email will be sent to the lead.


Email Pre-Salesperson for Meeting Confirmation : This option allows you to define how long before the scheduled time for the meeting to take place , the Pre-Salesperson will receive a reminder email to confirm the meeting: 


 


Do not send lead diagnostic email : Lead diagnostic email contains information about the type of meeting (online, phone or visit), date and time, information about the lead, responses from the filters that are sent to the salesperson for which the lead was scheduled. When this option is checked, the seller does not receive this email .


Do not send lead feedback email : By default, the system sends an email to the salesperson to fill out the meeting feedback (questionnaire type feedback configured as) when there is a scheduling event in the funnel (if the questionnaire is configured as a step's exit action after scheduling). Up to 3 billing emails are sent to the seller. If this option is selected, this billing email will not be sent.


Do not send a welcome email to the Seller : when a seller is registered in Spotter (regardless of having access to the system or not), a welcome email is sent. However, if your salesperson does not have access to the system, you can choose not to send this email by checking this option.

In this menu we have the following options: 


Send copy of meeting scheduling emails to all managers : When selected, sends the lead diagnostic to all  managers.


Send copy of meeting scheduling emails to Pre-Salesperson When selected,  sends the lead diagnosis to all Pre-Salespeople.

 

Send copy of meeting reschedule emails to all managers : When selected,  sends the lead diagnostic in the rescheduling cso to all managers. 


Send a copy of the scheduled but not held meeting emails to all managers : when selected, sends an email with the unmarked meeting information, as in the example:



Send copy of feedback received to Pre-Salesperson : When selected,  sends a copy of the responses given by the salesperson in the meeting feedback to the Pre-Salesperson.


Logo for appointment reminder

In this menu, it is possible to customize the image at the end of the email that will be sent to the lead, if this sending is configured in the "Send email to the lead before the meeting" option.


We suggest that you put your company information on this image, such as contact phone number and website. It is not possible to add a clickable image, and the image must respect the following instructions:

  • File extension: PNG, JPG, JPEG or BMP
  • 100px height
  • 600px width


Information in lead booking email

In this menu, we have the following options regarding the lead diagnosis email that is sent to the seller :


Do not send the qualification temperature of the scheduling email : it does not send the qualification of the filters applied to the lead in the information about the lead.


Do not send the name of the pre-salesperson in the booking email : it does not send the name of the pre-salesperson to which the lead belongs in the lead information. 


Not sending meeting and new seller information in rescheduling emails


Do not include scheduled meeting date/time from scheduling email : Does not send scheduled meeting date and time in lead diagnostic email.

Notifications

In this menu we have the following options:


Send an email to the pre-salesperson when receiving an Inbound Marketing Lead : sends the pre-salesperson for whom the lead was registered that there is a new lead in their base, coming from the integration with digital marketing


Send an email to the lead's pre-salesperson when the timeline receives a new story from another user : sends an email to the lead's pre-salesperson when there are comments from other users in the lead's timeline. 


Send email to all Managers when a Lead is manually discarded : when there is a manual discard, all active managers registered in Spotter will receive an email informing the discard along with the lead.


Send e-mail to pre-salesperson when receiving leads by transfer : sends the pre-salesperson an email informing that there has been a lead transfer to their base. 


The different configurations aim to meet the needs of the most varied Exact Sales customer profiles. Use according to your strategy.
