What is Business Analytics? - Spotter V2

Business Analytics is a resource that allows you to generate reports to analyze your Pre-Sales operation data. 

You can:

• Examine the data according to the combinations that best suit your needs;

• Share data via email with other team members; 

• Schedule the periodic receipt of these reports directly to your email (and/or the email of whoever else you want).

 Important points: 

• The tool accepts several formats and combinations. It is possible to cross several parameters in each report. 

• Reports are generated dynamically. With each parameter added, the report adapts. 

• Reports are accessible by any user with a manager account or pre-salespeople with BA access permission. 

• Scheduled reports can be sent to any user and are sent in .XLS format.

• There are two views that allow different analyses. Funnel brings data related to the pre-sales pipeline. Calls brings data related to phone calls (only for accounts with telephony integration).

With regard to query periods, a report can be dynamic or static. Predetermined periods such as  Today, Yesterday, Current month, Last 7 days, Last 15 days and Last month  are dynamic. Custom periods are static. See more in Consultation Periods.

Basic concepts

Library

From the Business Analytics home screen, you access saved, favorited, and report history reports. The last 6 edited reports will always be displayed. On this screen, you can also delete reports, among other actions. Deleted reports are in the recycle bin for 30 days (from the date of deletion) before being permanently deleted.

 

Scheduled Reports

On the Scheduled Reports tab  , you can edit the sending settings (frequency and recipients) as well as delete a schedule. Deleting a schedule does not delete a report, it just stops automatic emailing.


Report composer

Report Composer is a dynamic tool that works with drag-and-drop interactions. Use this mode to create new reports or edit pre-existing reports. Here you also choose the data group you want to analyze, Funnel or Links. To use the composer, click on “Create report”, or access an existing report.

Rows and columns

Rows and columns make up the structure of the report. By dragging dimensions onto each of these cards, you can group the data in a variety of ways. For example, if you add the “Pre-Salesperson” dimension under Rows, all of your Pre-Salesors will be listed vertically. Adding a parameter like Market, the registered markets are distributed according to the pre-sellers.

 

Metrics

In this card, the parameters from the Metrics section are added. In the Funnel data group, you can use the Lead Score metric, referring to the score achieved by each lead (Filter  ,  Filter 2 , or  Meeting Feedback only ) and the Quantity metric.

 


IMPORTANT: The quantity metric refers to the number of passages in stages of the funnel. For example: In the Calls data group, you can select between Call Time and Number of Calls metrics.


Filters

This card allows you to refine your report. By dragging parameters onto this card, you can specify which specific parameters will be displayed in the report.

 

 

Table

Report data is displayed under the cards. The table has two types of views. A pivot table groups data like a pivot table. The tabular format lists data using only columns. The tabular format is ideal for generating lists and rankings, while the pivot table allows you to group and explore data.

Period

 Regarding periods, reports can be dynamic or static. 

• Dynamic reports: Dynamic reports use predetermined periods (Today, Yesterday, Current month, Last 7 days, Last 15 days, Last month) to adapt the query period according to the date they are accessed. For example: If you save a report with the period “Current month” in February, it will bring all the data for February. However, if you access the same report in March, the data displayed will refer to the month of March. The same occurs with the other predetermined periods.

IMPORTANT:  When you create a new report and do not change the period, the system defaults to the current month.

 

 



            • Static reports: Static reports are those where a custom period has been determined. For example, if you create a report with a period from 01/01/2017 to 01/31/2017, determined manually, the report will always display that period, regardless of when it is accessed.

  


Graphic

The graph is generated from the data in the table, considering the order of the parameters grouped in columns and lines. In reports with more than one parameter, the top parameter will always be considered (both in rows and in columns) for graph generation. In reports with more than one parameter grouped in rows or columns, you can click on a graph's label to drill down into the displayed data.

It is also possible to select the type of graph ( lines, bars, pie,  etc.) and apply a zoom (activated by scrolling the mouse) to observe specific points of the graph.

The parameters used to compose the report can be found in the menu on the right. In this menu it is possible to select which data group will be used for data assembly. You can select between Funnel, suitable for pipeline reports, and Calls focused on phone calls. To change the data group, simply select the desired group at the top of the menu.

 


 


Dimensions

• Lead: When this parameter is added to the report, the names of all leads that had activity during the given period are displayed.

 

• City: Brings the cities registered for each lead with activity in the period. If there are leads in the base without the specified city, they will be displayed with an 'empty' record.

 

• State: Brings the states registered for each lead with activity in the period. If there are leads in the base without the specified city, they will be displayed with an 'empty' record.

 

• Origin: Displays the origins of each lead that had activity in the period. If there are leads in the base without the specified origin, they will be displayed with an 'empty' record.

 

• Sub-origin: Displays the sub-origins of each lead registered in the period.

 

• Stage: This parameter displays all stages of the funnel, including drops. To create Scheduling, Filter 2 and other reports, it is necessary to use this parameter. To refine the report, you can filter the pipeline steps you want to see.

 

• Pre-seller: Displays pre-sellers registered in Exact Spotter. Using this parameter, it is possible to verify the performance of each pre-salesperson.

 

• Registration Date: Displays the date the lead was registered in Exact Spotter.

 

• Date of sale: Displays the date the lead was sold in Exact Spotter

 

IMPORTANT:  Date parameters can be combined in different ways to promote  insights . You can combine months with hours and weeks. Try to explore the possibilities of crossing.


 

saving reports

To save a report, simply assign a name to the report and click save. The report will be available in the Report Library. Saved reports are available to all users with a Manager profile. There is no limit to the number of saved reports.

 

Favorite a report

Once saved, it is possible to make a favorite report. To do so, simply click on the star icon " " in the action bar. Favorite reports are in the Favorites section of the Library and are displayed in the first row of reports. Up to 6 reports can be favorited.

scheduling a report

After saving a report, you can schedule it to be received via email. To schedule a report, you must click on the email icon in the action bar. In the opened prompt, you can determine the periodicity of the report and the e-mails of the recipients that should receive the report. This action can also be carried out from the Reports Library It is possible to share the report with any e-mail, even if you are not registered with Exact Spotter.

IMPORTANT:  Scheduled reports are sent in .XLS format. 


Once scheduled, the sending can be managed on the Scheduled reports tab, on the Business Analytics home screen. You can edit a submission, extract data from a report, or delete the submission. 

exporting a report

Once created, it is possible to export the report data in .XLS format. The report format influences the generated file. You can generate an extract from any type of report. If you prefer to extract just the graphic itself, in .PNG format. Reports can also be exported from the Report Library.

deleting a report

A report can be deleted from the Report Library or from the composition screen. Deleted reports are accessible from the Recycle Bin in the Reports Library and are available for 30 days from the date of deletion. After this period, reports are permanently deleted.
