How to import leads - Spotter V2

If you have a list of leads/opportunities and want to import them into Exact Spotter, just follow the steps below:

1.  With your user logged into the system, access the option Leads/Opportunity  >  Import Leads on the left side menu.

 

2.  On the Import page, download our file that serves as the import layout by clicking Download template for import.


 

OBSERVATION :  Each user has a unique worksheet with unique settings and header, so you must always download a new template for each import you are going to make, and always logged in as the user you are going to import. 


3.  In the import file, fill in the column data, with important details about the fields below: 


Lead name  (mandatory field) ;

Origin  (mandatory field — it must be written EXACTLY as registered in Spotter) ;

Sub-Origin  (if completed, it must be written EXACTLY as registered in Spotter) ;

Market  (mandatory field — it must be written EXACTLY as registered in Spotter) ;

Country  (if you fill in City, this field becomes mandatory) ;

State  (if you fill in City, this field becomes mandatory) ;

City (if filled in, Country and State fields become mandatory) ;

Contact Name  (If any contact information is filled in, the Contact Name field becomes mandatory) .


NOTE : If you have custom fields, they will also be in the sample layout and if one of your fields is required, filling it will be as well. 

 

4.  After filling in the data in the worksheet, save it and on the  Import page , click Choose  File . 


 

5.  Select the desired file and then click  Submit Completed File . 


 


6. If everything is ok, the screen below will be displayed, with the option to save  in the last column, then just click on save , central green icon .


  

7. When the message below appears, it's done! Your worksheet has been imported successfully!


 


NOTE: Remembering that the spreadsheet must contain a maximum of 500kb and only 500 lines. 



IMPORTANT:   State, City and Country must be written in full, for example: For a Lead/Opportunity from São Paulo use: City: São Paulo, State: São Paulo, Country: Brazil. No abbreviations (SP, S. Paulo, etc). Another point is that all accents must be respected when filling in. For example: São Paulo, it must be written exactly this way and not ''Sao Paulo''.


After clicking Submit Completed File , screen as below may be displayed. It will have all the details that need to be corrected in the lines so that the import takes place correctly.

 

 

After clicking Import , check that the last field below displays the information save  or ignore . If it does not have the save  option available, it means that some information was not filled in correctly on that line. Ex: Country and State filled in with abbreviation/wrong spelling: 


 

In this case, you must cancel the operation, and review all the lines that display the ignore information in the last column above. (It is possible to identify the line number within the worksheet based on the first column of the print above).


To enter more than one contact for the same Lead/Opportunity, just add a new line with the contact's data, and repeat the name of the Lead, in addition, the first line of the lead must be filled in at least with the mandatory information.


 

To enter more than one email for the same contact , just separate the emails by adding a (semicolon) in the Contact Email field :
