Scheduling by Business Hours

It is possible to access free times on the seller's agenda (or the PV that will hold the meeting) through Spotter. Thus, the team manages to schedule a meeting for any space available in the sales consultant's agenda without having to ask him or access an external system.


For this purpose, Scheduling by Business Hours was created. This functionality will allow a list of available times to be generated for scheduling, based on some established standards. Below is the step by step on how to perform this configuration:


Configuring Business Hours 

1. 
 Access the  
Settings > Scheduling menu 

2.  When opening, configure the  
Business Hours Scheduling.

It is necessary to define two important dimensions:


• Interval between meetings:  interval time between one meeting and another.

•  Default duration of meetings:  duration of appointments made. This information will be used to define the duration of the event and create the same as the external agenda.

 

 

After this configuration, it is also necessary to configure the  company's  Business Hours  , accessing the menu Settings   Month and Business Hours It will configure the hours and days of operation of the company so that the system correctly distributes the available boxes in the sellers' schedules, according to the configuration of the interval and duration. After configuration, click the  Save Changes button . 

 

 

When the integration with the external calendar is enabled, the  Calendar menu  will have the  Calendar sub-menu . 


 

If a user's business hours are different from those configured in the previous step, they can be adjusted through the menu  Team  Pre-salespeople/ Salespeople  >  Edit User  in the desired salesperson .


  

By accessing the  menu Schedule > Calendar  it is possible to view the users' schedules. If the busy time is in blue   it means that an appointment was made by  Exact Spotter and if it is in  gray  , it means an appointment made by the  external schedule . 


Ready! Now Spotter will automatically create all available times when scheduling, considering the starting time of the meeting:



If you don't set a start time, the schedule will be created from the time you accessed the page, so they may appear broken as 09:47 or 13:11.
