How To Use Video Conferencing in a Meeting | Exact Meeting

Video conferencing is a feature of Exact Spotter that acts like video calling  and allows users to hold meetings directly from the system. This article will show you how to make video calls with the feature.

1. Access the  Lead Base (Funnel) menu . 

 

 

To schedule the meeting click on the calendar iconas the image below:


 Or directly within the lead details, by clicking on the same icon:


3. It will go to the Scheduling screen. Select the type of meeting as “ Online ”, and fill in all the data for scheduling the meeting: 

 


NOTE: The link to the video conference is automatically generated when scheduling an Online meeting .

 

The meeting link goes along with the invitation, as well as being in the lead details. The invitation is sent to the Salesperson (information about the lead + invitation/invite) and to the main contact of the lead, both via email.

It is also possible to resend the invitation through the option in the lead according to the need for the lead or Salesperson: 

 

 

 

3. Access the room from the link sent with the invitation, or from the Lead Details. 

To start the meeting, a host must be present  The  host  is any user in your company on Spotter. 


IMPORTANT For the user to enter as a host, the e-mail must be identical to the one registered in Spotter. 


Data:
Name:  insert the name of the user in Spotter (seller), or of the guest (lead).
E-mail: insert the e-mail of the user in Spotter (seller), or of the guest (lead).

 


The recording starts automatically within 20 seconds after the host enters, and can be stopped manually in the call window itself, as shown below:

 

 

When you stop recording, the message below will be displayed:


 

4.  To leave the room, click on the 3 dots in the upper right corner, and then click on the icon

 

 

 

5.  Meeting recordings will be saved in the Lead Details on the Videoconference card
